When the leadership of an organization learns about appreciative inquiry and agrees to apply it to an organizational problem, challenge, or opportunity, this is the beginning of an appreciative inquiry summit. The first thing that has to be done is to find a significant number of important sponsors for the summit. Sponsors are those who make it their mission to guarantee that the AI Summit process is carried out successfully inside their company or community. In companies, they are often comprised of senior officials such as the CEO, division vice presidents, plant general managers, union stewards, and so on. In communities, these are comprised of the leaders of constituent groups who have a stake in the issue that is going to be discussed. These individuals provide monetary funds and other resources, rally support for the summit within their organization or community, and work closely with the summit’s facilitators to ensure that the process of holding the AI summit is proceeding as planned. It is impossible for a single person, function, or level within an organization to serve as the sole sponsor of an artificial intelligence (ai), despite the fact that the backing of top executives is very necessary. It is vital to have a conversation with a larger group in order to facilitate the participation, knowledge, and leadership that are required. Once we have secured sponsorship, the next step is to form an advisory committee comprised of those sponsors. This team’s mission is to assure participation, give resources, and provide general direction to ensure the process is successful. For instance, not so long ago we collaborated with park center, inc., a comprehensive mental health system located in Fort Wayne, Indiana, to host an artificial intelligence conference. The chief executive officer, Paul Wilson, was fully supportive of the idea and willing to provide funding for it; however, in order to garner support from a wider audience, he established a small advisory team to help shape the process of the artificial intelligence summit and promote it with others in the system. The planning team, which is created later to design and organize the whole of the summit process, is more hands-on than the advisory team, which is more consultative in nature. An AI summit has a working team called the planning team whose role it is to create, organize, and carry out the whole process from beginning to end. This team is responsible for all aspects of the summit. They are the ones who relate appreciative inquiry to the fundamental problem or opportunity facing the business, and they are also the ones who make sure that the ai summit is designed to match the requirements of the firm as well as its culture. We have worked with planning teams that were as small as three people and as big as forty people. The size of the organization that is in charge of organizing the summit should determine the optimal number of attendees. However, in most cases, a planning team comprised of twelve to twenty persons may adequately reflect the many roles and interests that exist inside a company. An efficient planning team will include members from a wide range of backgrounds and experiences participating in group discussions. Its membership is made up of individuals who are representative of everyone who will be attending the summit, including both internal and external stakeholders. For instance, in the situation involving park center, the chief executive officer, two vice presidents, and three managers all participated in the planning process. Then, they asked a total of fifteen individuals to participate, with representation coming from different main constituencies, including two board members, three customers, and four workers. In most cases, we find that it takes at least two to three full days with the whole planning team, in addition to a large number of phone conversations, emails, and smaller meetings, in order to arrange a summit in an appropriate manner. In order for the members of the planning team to get a profound experiential grasp of what it is like to participate in an AI summit, we structure the first meeting, which lasts for two days, to be as close to an AI summit as is humanly feasible.
